Client Services Terms
Last updated: November 4, 2026. Operated by GoChiHQ — Ontario sole proprietorship (BIN 1001793631), Kitchener, Ontario, Canada. This is the master service agreement for GoChiHQ client work. It sits alongside the terms of service; where a booking confirmation or a specific page states something more specific, the more specific term governs that engagement.
What this document is
These terms govern every client engagement with GoChiHQ — all five doors of the Services Hub: produced Shorts and campaign videos (Launch Pack $400 one-off · Growth Retainer $500/month · Brand Partner $900/month), Commercials & Film (30-Second Commercial $599 flat · Story Film $149 per finished minute), Music — GoChiHQ Records (Release-Ready $349 per single · $899 per EP · AI Music Video $449, and split production), services delivered through the Software Hub, and the AI Receptionist (GoChi AI Solutions), whose pilot engagements are confirmed in writing with each business. Together with your booking confirmation — the Stripe checkout for the Shorts tiers, or our written confirmation email for consultation-booked doors — these terms are the agreement between you and GoChiHQ. Driveway Rentals runs under its own Host Agreement and is not governed by this document.
1. Scope of services
We provide the deliverables described on the Services page for the offer you booked, as confirmed in your booking confirmation: the finished videos, films, release packages, artwork and files listed there, produced and delivered digitally. Anything not listed in the offer or your confirmation — extra videos, extra formats, a different brief — is a separate engagement or a quoted addition, agreed in writing before we start it.
2. Booking and confirmation
- Shorts tiers are booked at checkout through Stripe (or by Interac e-Transfer or PayPal under the manual lanes on the Services page).
- Commercials, film, music and split production are booked by consultation: a human confirms your price, these terms and your delivery date in writing before you pay anything. No payment is taken for an unconfirmed booking.
- Production starts when your booking is confirmed and the materials we need from you have landed (see the raw-file intake). Turnaround times published on the Services page run from the moment your raw files land.
3. Fees, tax and payment
- Published prices are pre-tax, in Canadian dollars (CAD). At checkout, tax is added on the full amount at the rate for your province (place of supply for services), and your receipt shows the breakdown.
- The 25 / 75 advance rule: every advance booking paid to GoChiHQ includes a 25% non-refundable advance-booking portion that reserves your production slot, stated on the Services page before you pay. The remaining 75% follows the refunds & cancellations policy — back in full (of that balance) if you cancel before work begins, as its unused portion once work is underway; delivered work is not refundable.
- Monthly tiers (Growth Retainer, Brand Partner) renew monthly through Stripe. There is no lock-in: cancel any time to stop the next renewal.
- Card payments are processed on Stripe-hosted pages — no card data ever touches GoChiHQ (see Payments security).
4. Deliverables, review and revisions
- Deliverables are finished files, delivered to you digitally. You review everything before anything goes live — nothing produced for you is published without your review.
- Where an offer states revision rounds, they are included as published: the 30-Second Commercial, the Story Film and the AI Music Video each include 2 revision rounds. A revision round refines the delivered work against the agreed brief; a change of brief — a different message, product, script or direction — is a new engagement or a quoted addition, agreed in writing before we start it.
- Delivery dates are confirmed in writing at booking (or published, for the intake lanes). If a date has to move, we tell you as early as we can and agree the new date with you.
5. Your materials
- The footage, audio, scripts, logos, artwork and other materials you send us stay yours. You give GoChiHQ a licence to use them only to produce and deliver your engagement.
- You confirm that you own the materials you send, or hold the rights and permissions needed to use them in your project — including footage or stills featuring other people, and any music, artwork or writing that is not originally yours. If a claim is made against GoChiHQ because materials you supplied infringed someone else's rights, that claim is yours to answer for, not ours.
- Raw or finished, your files are never reused for anyone else. How we handle files and personal data you send is set out in the data processing agreement.
6. Ownership of the finished work
- On full payment, you own the final deliverables produced for your engagement — the finished videos, films, artwork and files we deliver to you — and may use them for your business without further fees to GoChiHQ.
- Music — GoChiHQ Records: you keep 100% of your masters and 100% of your royalties, always. Your music releases on your own distribution account, in your name. GoChiHQ earns the flat published fees on the Services page — never a cut of your music, never ownership, no 360-style takes. If you ever stop working with us, your catalogue stays exactly where it is: with you.
- Film: producers keep 100% ownership of the finished film, as published on the Services page.
- GoChiHQ keeps ownership of its own tools, templates, production methods and know-how, and of anything it created outside your engagement.
7. Split production
On selected music and film projects, instead of the full flat fee up front, GoChiHQ may produce the work for a minority share of the project's net revenue for a defined term — the percentage and the term are agreed in writing before work starts. A split is a share of revenue for a set time, never a share of ownership: your masters, or your film, remain 100% yours during the term and after it ends, and when the term ends, the split ends.
8. Confidentiality
Each side keeps the other's non-public information — your unreleased footage, tracks, scripts, business plans and customer details on your side; our production methods and unpublished pricing work on ours — confidential, and uses it only for the engagement. This does not cover information that is already public, that the receiving side already lawfully knew, or that must be disclosed because the law requires it.
9. What we promise — and what we don't
We guarantee professional production and honest reporting — never guaranteed views, sales, or rankings. Performance depends on your market, your offer and the platforms, and any studio that promises otherwise is selling you a story. Everything else about how we work — turnarounds, formats, what's included — is as published on the Services page and confirmed in your booking.
10. Liability
To the fullest extent permitted by the laws of Ontario and Canada, GoChiHQ's total liability for an engagement is capped at the fees you paid for that engagement, and neither side is liable to the other for indirect, incidental or consequential losses (such as lost profits) arising from the engagement. Nothing in these terms limits liability that cannot lawfully be limited, and nothing limits rights you have under Ontario or Canadian consumer law. The general limitation for this website is on the legal & disclaimers hub.
11. Ending an engagement
- Either side may end an engagement by written notice (email is fine). Amounts already paid follow the refunds & cancellations policy — the 25% advance-booking portion is non-refundable; the 75% balance follows that policy's rules for the stage the work has reached.
- Monthly tiers: cancelling stops the next renewal; the current period follows the same 25 / 75 structure.
- Work that has been produced and paid for is delivered to you. Your materials are returned or deleted under the data processing agreement.
12. Governing law
These terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply there. If any provision is found unenforceable, the remaining provisions continue in full effect. We may update these terms; the version published here when your booking was confirmed is the version that governs that engagement.
